How to Compress Large PDF Files for Email Attachments (Step-by-Step)
You have a PDF that needs to go out by email — a resume for a job application, a scanned contract for a client, or a school project submission. You attach it to the message, hit send, and your email client responds with an error: "File too large."
Most email services cap attachments at 25 MB. When a PDF exceeds that limit, you need to compress it. This guide walks through the process from start to finish, explaining why PDFs get large in the first place and how to shrink them without destroying quality.
Why PDFs Get So Large
A PDF's file size depends almost entirely on what is inside it. A text-only PDF — a letter, an invoice, a form — is usually tiny, often under 500 KB. The problems start when you add images, embedded fonts, or scanned pages.
The main contributors to large PDFs are:
- High-resolution images: A single full-page photo at 300 DPI can be 5 to 10 MB on its own.
- Scanned documents: Each scanned page is essentially a high-resolution image embedded in the PDF. A 10-page scan at 600 DPI can easily exceed 50 MB.
- Embedded fonts: Every custom font used in the document gets embedded, adding a few hundred KB each.
- Vector graphics and annotations: Layers of diagrams, stamps, and markup add up.
Understanding what is driving the file size helps you choose the right compression strategy. Image-heavy PDFs benefit most from compression. Text-only PDFs are already near their minimum size — compression will save at most a few percent.
Understanding Email Attachment Limits
Every major email service enforces a maximum attachment size, though the limits vary:
- Gmail: 25 MB per message.
- Outlook.com and Office 365: 20 to 34 MB depending on the plan.
- Yahoo Mail: 25 MB.
- ProtonMail: 25 MB.
- Apple iCloud Mail: 20 MB.
Note that file size limits apply to the entire email, not just the attachment. A 23 MB PDF attached to a message with inline images and a signature might still get rejected. Aim to keep attachments well under the limit — 18 MB or less is a safe target.
Some services like Gmail offer Google Drive integration that bypasses the attachment limit. When you attach a file larger than 25 MB, Gmail automatically uploads it to Drive and sends a link instead. That works for many situations, but some recipients prefer or require a direct attachment.

Before compressing anything, check the current file size so you know how much you need to reduce it.
On Windows, right-click the PDF and select Properties — the file size appears on the General tab. On macOS, select the file and press Command+I. On both platforms you can also look at the file listing in the folder view.
If your PDF is 10 MB and you need to get it under 25 MB, you may not need compression at all. If it is 45 MB, you need to cut it by more than half. Knowing the starting point tells you how aggressive your compression settings should be.
Step 2: Compress Using a Local Tool
The safest way to compress a PDF is with a tool that runs locally on your device. Online compression services require uploading your document to a server — which may be a concern for sensitive files like contracts, resumes with personal information, or confidential business documents.
A local PDF compression tool works by analyzing the PDF and selectively reducing the quality of embedded images and removing redundant data. The key parameter you control is the compression level or quality setting:
- Light compression: Removes unnecessary metadata and streamlines the internal structure. Images are minimally affected. Typically reduces size by 10 to 30 percent.
- Medium compression: Downsamples images to around 150 DPI and recompresses them. Good balance for most documents. Typical reduction: 40 to 70 percent.
- Heavy compression: Downsamples images further and uses aggressive JPEG compression. Images will show visible degradation. Typical reduction: 60 to 90 percent.
For a typical multi-page PDF with photos, medium compression is the right starting point. If the result is still too large, try heavy compression. If the images look bad, try light compression and accept a smaller reduction.
Text content in a PDF — letters, numbers, and vector graphics — is not affected by compression. Only the embedded images get recompressed. Your document's text will remain crisp and readable at any compression level.
Step 3: Verify the Output
After compression, always open the output file and check it before sending. Look at a few pages that contain images to confirm the quality is acceptable. Zoom in on any charts, diagrams, or photos to make sure details are still legible.
If the compressed file is still too large, try a more aggressive setting. If the quality is unacceptable, try a lighter setting and consider other approaches to reduce size — like removing unnecessary pages or reducing image dimensions before creating the PDF.
A good habit is to keep the original uncompressed version as a backup. Once you have verified that the compressed version looks fine and is under the email limit, you are ready to attach and send.
Alternative: Reduce Images Before Creating the PDF
If you are creating a PDF from scratch — for example, compiling a presentation or scanning documents — you can save yourself the compression step by starting with smaller source images.
- Scan at 200 DPI instead of 600 DPI. For documents that will be read on screen, 200 DPI is more than enough. The file will be roughly one-ninth the size.
- Resize photos to 1920 pixels on the longest edge. Most screens cannot display higher resolutions, and printing at standard sizes does not need more.
- Export presentations as "Minimum Size" PDF. PowerPoint, Keynote, and Google Slides all have a PDF export option that compresses images automatically.
These steps do not replace dedicated PDF compression, but they give you a head start. A PDF created from well-prepared source files often needs only light compression — or none at all — to fit within email limits.
Aggressive compression can visibly degrade images. Always check the output before sending — especially for documents where image quality matters, such as design portfolios, medical imaging, or legal exhibits.
